How to save notes and info for tasks?

I’m planning to use BC to organize our cycling club’s annual ride event (fairly large event with 1000 riders).

When somone is working on a task (say, “Reserve Rec Center” ) there is often additional info like phone #’s and contacts.

How do you store that additional info so that the person doing the job has all thier information in one place and so the NEXT person to do that job has all that info as well?

Oh, and I thought about messages and writeboards but I’d like someone to be able to just look at a task and see all the extra info (or a link to the extra info). I see no way to have,in a task, a link to that additional info.

I’d say there are a couple of ways of doing what you want:

First of all, create a ToDo for the organizer that includes an “Update contact info in Highrise” or similar task. You can create ToDo templates to make creation of multitask ToDos easy. Then have the organizer store the applicable contact info using one of two methods:

  1. The hightech way would be to use Highrise to store your contact info.
  2. A lowtech way would be to have everyone update an Excel spreadsheet with contact info and store the spreadsheet on Basecamp.
