How are you using Cases?

How are you using Cases? Is there anyone here using Highrise as a sales system? I just don’t get Cases yet. Someone help.

We use Cases all the time.

For example, I have a case called “Speaking Engagements” where I keep track of all the speaking engagements I have planned this year. Anytime I have a note related to a speaking engagement it gets attached to that case.

We also have a case called “Health Insurance” which includes notes from our insurance guy, Blue Cross Blue Shield, and our accountant.

We have a case called “Taxes” which includes scanned documents from the various states where we have employees. Plus notes from our accountant and any legal help re: taxes.

Could those/shouldn’t those all go into BaseCamp into projects called Marketing, Speaking Engagements, Health Insurance, Taxes, etc?

Why use Cases instead of on-going projects?

Melvin: If you want to put this stuff in Basecamp instead of Highrise you are free to do so. There are no rules here. I’m just sharing how we use Cases in Highrise. Your mileage may vary.

All of the situations I described above are directly related to people and that’s why we store them in Highrise.

Jason, I’m not saying I want to put those things in Basecamp… or in Highrise. I’m just trying to figure out when to use which. I’m not sure the “directly related to people” justifies putting it into Highrise. I mean, I’ve got client projects that are all directly related to people… doesn’t mean I should put them in Highrise.

Anyone else heavily using Cases?

I run a non-profit trade association. We often end up working on our members’ behalf in disputes with governmental agencies. Sometimes it involves our own staff and sometimes it involves outside counsel and sometimes both. We have only been using Highrise a few weeks but we have used cases to keep track of communications with all involved and allows us to see a chronological sequence of events in those communications. This makes sure that everyone working on that member’s case can get up to speed quickly even if they haven’t been involved the entire time. It also allows new staff to get up to speed quickly. Since we are a very small (staff wise) organization, we are using the minimum paid level of Highrise and the 3 open case max is fairly limiting but we may upgrade if we find it too limiting.

We have a case for each employee that only they and I can access which allows for a collection of private communique and notes to be contained in one spot.

Other than that: Insurance Claim, Superannuation Payment Issues, Tax Office communication etc.

It looks as if Cases are great for use as “big category” longer term use, such as the examples described above.

Although I’ve got unlimited Cases available I haven’t found a comfortable way to use Cases to track individual leads, orders, shorter term projects etc.

I would like to use cases to manage leads and prospects. Each new lead (whether from an existing customer or a new contact) as a Case.

However at the moment this is not feasible in Highrise because on the Case screen I cannot see the tasks assigned to others for any given case. It’s difficult to pick these out for a particular case on the Tasks screen as we are then out of context on the case and there is a clutter of tasks from all other cases in which I’m involved.

I (and the other users with access to the case) need to see the complete set of tasks for the case; it would be good to see all live tasks and completed (perhaps the latter simply as partof the history of the case, with only the live ones pulled out as upcoming tasks on the right hand dashboard.
